Terms and Conditions

Check-in Procedure

Your keys to your rental Suite or Rental Home can be picked up at the Mercantile during regular business hours, which are posted on our web-site.  In the event you need to check in during non business hours, please call 425-766-4648 to make special arrangements. We will make every effort to have your rental property ready for the 3:00 p.m. check in.  If available, accommodations can be made to check in early and check out late if scheduling permits.  No additional fees will apply. 

Payment policies

The credit card you provide will be used unless other arrangements are made.  We accept all major credit cards.   At the time of reservation, a $50 deposit will be charged with the remaining balance due upon check in.  Rates are subject to taxes of 8.0%.  All rates, fees and policies are subject to change.

Cancellations/Refunds

Should the need arise to cancel your reservation prior to 7 days of your arrival, a $25 cancellation fee will be charged. If cancellations occur within 48 hours an additional $75 will be charged to your account.
    

Cleaning Fee

Your suite or home is stocked for your arrival with paper products including tissue, toilet paper, paper towels, napkins, laundry, and dish detergent.  Beds are ready and made for your arrival except the following: sofa sleepers and air beds if requested.   
 
Please leave the rental in the same general condition as it was when you arrived.  Staff will arrive after your departure to thoroughly clean and inspect the property.
 
All food and drink spills should be cleaned up as they occur. Food and drink spills on carpet are considered to be damage, not normal wear and tear. 

Refrigerator should be emptied of all food and free of spills. 
 
Additional housekeeping charges may also be applied in the occurrence of exceeding the maximum occupancy of the rental.

A minimal cleaning fee will be charged to your stay.  This fee will be disclosed at the time of confirming your reservation.

For long term stays, please inquire if you would like additional cleaning services that can be provided for a small fee.

Security Deposit:

We require a $50 security deposit.  You may be charged $250.00 in the event of a violation of our "no smoking" "no pet" or "maximum occupancy" polices or incidental damages which occurred during the tenancy. Additional housekeeping charges will be applied in event for the need of excessive cleaning by our staff and the occurrence of exceeding the maximum occupancy of the rental.

Pet Policy

Due to owner's & guests allergies certain homes DO NOT allow pets...big or small. In all cases - ANIMALS BESIDES DOGS ARE STRICTLY PROHIBITED.
 
"Pet friendly" homes are available by request, 2 pet maximum. A $50 or $75 non-refundable cleaning fee per pet is required to aid in the cleaning and treatment of the home for guests arriving without pets.
 
Should we discover a pet has been/is in the home without prior approval, you will be charged a fee for pest control, and deep clean of $350. If you miss picking up after your pet, a $25 fee per incident is charged.  AT NO TIME MAY PETS BE LEFT UNATTENDED in a home or on the grounds of one of the homes.

Smoking Policy

ABSOLUTELY NO SMOKING IS ALLOWED IN ANY OF OUR HOMES.  The same deep cleaning fee of $250 will apply.

Quiet Hours

10:00 PM – 8:00 AM - Monitored and Enforced at our rental home.  Hidden Spring’s is a  neighborhood with a family environment. If renting the home, please take into consideration your neighbors who are permanent residents of our community.  Special parking rules will apply for the rental house and will be passed on at check in.  Due to the nature of the business at the Mercantile, there will be events occurring that will run beyond our regular business hours.  These extended hours are typically during seasonal time periods and our Friday night events.  At any time if there are any issues or concerns, please direct them to our staff at the Merc or contact 425-766-4648.

Keys

At check in, you will receive a key.  For check out, please return this key to the Mercantile or leave it in the rental property if the Merc is closed. The charge for a lost key is the cost to re-key the rental, and this can range from $75 to $150.

The following items are included in each vacation rental:
 
Suite A-Direct TV with DVD player, Wireless internet, dishes/cookware, toaster, microwave, coffee maker, kitchen utensils, bath towels, bed linens, blankets, pillows, iron and ironing board, trash bags, basic paper products as stated above. 

Suite B-Direct TV with DVD player, Wireless internet, Toaster, Coffee Maker, Iron and Ironing board, bath towels, bed linens, blankets, pillows, iron and ironing board, trash bags, basic paper products as stated above. 

Inn at Hidden Springs (Home)- Direct TV with DVD player, Wireless internet, Dishes/Cookware, Toaster, Microwave, Coffee Maker, Kitchen Utensils, Bath Towels, Bed Linens, Blankets, Pillows, Iron and Ironing Board, Trash Bags, basic paper products as stated above. 

You'll may want to bring the following items for your stay:

Food & Condiments, Baby equipment (unless provided by specific rental), Personal Toiletries, Hiking, Winter or Summer Gear or Equipment, Specialty Cooking Items.
 
For any item you do not see listed or are not sure about, please email or call us and ask while you are staying.  Every effort will be made by our staff to accommodate your needs.   Additional items are available for rent during your stay.   ie: Golf Cart, Bikes, air beds, fold and play baby cribs etc.  

General Policies

Major holidays require a 3 night minimum stay.

Primary registered guest are responsible for any expenses incurred during the visit, including but not limited to loss and damages, accident or injury to person, or loss sustained while visiting the home.  Guest acknowledges and authorizes the Mercantile to charge Guest’s credit card for all damaged and/or missing items to the premises while occupied by the guest.  If cost of extra cleaning, replacement or repairs exceeds the guest’s credit card limit, guest agrees to pay the difference to the Mercantile.
 

Parking is limited at the rental home and there is a two car limit.  Details will be provided at the time of rental.  Any vehicles parking in or blocking a fire lane will be towed.  No motor homes, trailers, campers, or boats of ANY KIND are allowed.

The Mercantile reserves the right to enter the premises, if need arises, without guest permission.  The Mercantile will make every effort to contact the guest as to the purpose and duration we are to be in the home.
 
The Mercantile and homeowners disclaim all liability for injury, loss, or damage. The Mercantile will be held harmless from claims arising out of use of home.  
 
The Mercantile rental properties are part of a residential neighborhood. They require complete sensitivity to full-time neighbors and residents.  Each home belongs to a wonderful family and they ask for your care and kindness.
